The guest list is the heart of wedding planning: budget, venue, catering and seating all depend on it. Setting it up early and in a structured way saves a lot of stress later. Here is how to do it.

Why the guest list comes first

Before you view a venue, you should have an approximate guest count. The reason is simple: 40 guests fit in an intimate barn, 150 need a hall. And catering is priced per head – so the guest count is the biggest lever in your budget.

Step 1: Collect without filtering

On the first pass, write down everyone who comes to mind – family, friends, colleagues, plus-ones. Don't cut anyone yet. The goal is a complete starting list from which you later trim to the right size.

Step 2: Sort into categories

Group the names. This helps with trimming and later with the seating plan:

  • Inner circle: parents, siblings, wedding party, closest friends
  • Extended circle: wider family, good friends
  • Optional circle: colleagues, acquaintances, plus-ones

If you need to cut, work upwards from the bottom category.

Step 3: Find the right guest count

The right number comes from your budget, venue capacity and the kind of celebration you want. A simple rule of thumb to start: your budget cap divided by the estimated cost per guest (catering, drinks, a share of venue and décor) gives your maximum guest count. Plan a little conservatively – declines are easier to absorb than last-minute acceptances with nowhere to sit.

Step 4: Capture contact details and specifics

Each guest is more than a name. Record:

  • Address (for the invitation and any save-the-date)
  • Acceptance/decline
  • Meal choice or dietary needs
  • Accommodation needs
  • Grouping (for the seating plan)

This is exactly where a spreadsheet gets messy – especially when several people edit it at once.

Step 5: Collect RSVPs digitally

Instead of chasing replies across text, phone and paper, let guests reply online. The status updates automatically, and in the end you export the seating plan and meal choices with one click. See exactly how in the article on online RSVP for your wedding.

Common pitfalls

  • Started too late: without a guest count there is no sensible venue search.
  • Unclear plus-ones: decide early who may bring a companion.
  • No deadline: set a clear reply date – otherwise planning drags on to the very end.

With a well-kept guest list you have the most important part of the organisation under control – and can turn to the lovely details with a clear head.

Häufige Fragen

When should you create the wedding guest list?
Right at the start of planning – before searching for a venue. Your approximate guest count determines which venues are even an option and how high the catering costs will be.
What is the best way to manage a guest list?
Digitally rather than on paper or in a spreadsheet: an online tool keeps contact details, acceptances and declines, meal choices and the seating plan in one place – and updates itself automatically when guests reply online.
